1. Who we are

KiraHelp Ltd (“KiraHelp”, “we”, “us”) operates the KiraHelp property maintenance platform. We are registered in England and Wales. You can contact us at privacy@kirahelp.com.

We are the data controller for personal data processed on our platform. We process data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Data we collect

Landlords and team members: name, email address, phone number, property addresses, billing information, and activity on the platform.

Tenants: name, email address, phone number (optional), issue descriptions, photos submitted with maintenance reports, and appointment details.

Visitors: email address (if you join our waitlist), and anonymous usage data via essential cookies.

3. How we use your data

• Providing and operating the KiraHelp platform
• Processing maintenance reports and AI triage via Kira
• Sending notifications about issues, appointments, and compliance alerts
• Processing payments and managing subscriptions
• Maintaining a legally-required 6-year audit trail for property maintenance records
• Improving our service through anonymised analytics

4. Legal basis for processing

We process personal data under the following lawful bases:

• Contract: to provide the service you have signed up for
• Legitimate interests: to operate and improve our platform, prevent fraud, and maintain security
• Legal obligation: to comply with applicable UK law, including 6-year retention of property maintenance records
• Consent: for marketing communications (you may withdraw consent at any time)

5. AI processing

Issue descriptions and photos you submit are processed by Kira, our AI maintenance assistant, powered by Anthropic’s Claude models. This processing is automated and used to classify issue severity and provide guidance. No automated decisions with legal effect are made without human review.

6. Data storage and retention

All data is stored in the United Kingdom. Maintenance records, evidence, and audit logs are retained for 6 years to meet legal requirements for landlords. Account data is retained for as long as your account is active and for 2 years after closure, unless a longer period is required by law.

7. Sharing your data

We do not sell your personal data. We share data only with:

• Supabase — database and file storage (UK/EU)
• Anthropic — AI processing of issue text and photos
• Resend — transactional email delivery
• Vercel — platform hosting

All processors are subject to data processing agreements and UK GDPR-compliant safeguards.

8. Your rights

Under UK GDPR you have the right to: access your data, rectify inaccurate data, erase your data (subject to legal retention obligations), restrict processing, data portability, and object to processing. You also have the right to complain to the ICO at ico.org.uk.

To exercise your rights, contact privacy@kirahelp.com. Landlords can export their data via Admin → GDPR Export in the dashboard.
